In this crucial role, you’ll be the right hand to senior management, orchestrating all aspects of ad sales and marketing operations. From coordinating high-profile meetings and events to managing communications and assisting with strategic projects, you’ll play an integral part in driving our success. RESPONSIBILITIES:

Meeting Coordination:

  • Schedule meetings and manage calendar invites for the SVP, senior leadership, and the Ad Sales department.
  • Organize Teams invitations and ensure all participants have necessary materials.

Communication Management:

  • Field incoming calls and respond to emails promptly.
  • Interact professionally with staff, clients, and external partners.
  • Draft emails and other communications on behalf of the SVP.

Event Management:

  • Assist in planning events such as board meetings and company retreats.
  • Coordinate logistics, including venue booking, catering arrangements, and entertainment.

Office Supply Management:

  • Monitor and manage supply needs for the New York office.
  • Coordinate with other offices to ensure consistent supply levels.

Record Keeping:

  • Take and distribute meeting minutes accurately.
  • Maintain organized filing systems for easy retrieval of information.

Expense Reporting:

  • Compile and submit monthly expense reports for the SVP.
  • Ensure compliance with company policies and procedures.

Follow-Up Actions:

  • Track and implement follow-up actions from meetings and calls.
  • Communicate deadlines and reminders to relevant parties.

Administrative Support:

  • Prepare reports and presentations as needed.
  • Organize travel arrangements for senior staff and clients.
  • Assist with project coordination and task management.

 

KNOWLEDGE/SKILLS/ABILITIES:

  • Minimum of 4-6 years of administrative support experience, preferably in ad sales and marketing.
  • Proficiency in Microsoft Office Suite (Word, Teams, Outlook, PowerPoint, Excel).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Professional demeanor with the ability to interact effectively at all organizational levels.
  • Ability to work independently and take initiative.
  • Team player with a strong interest in the media industry.
  • Complies with Network and Urban One’s mandatory trainings and adheres to related course deadlines.
  • Legally authorized to work in the U.S

 

EDUCATION AND/OR EXPERIENCE:

Minimum of 4-6 years of administrative support or similar experience, high school diploma or equivalent required. BS/BA degree preferred from an accredited college or university. Internship in related fields and/or prior direct office experiences a plus.

 

COMPENSATION AND BENEFITS:

Salary Range:  $60,000 – $75,000/year

Overtime Eligibility: This is a non-exempt position eligible for overtime pay following applicable laws.
